02 Scope and limits

Five steps from brief to inspection file

Every step leaves a document behind. Findings are dated, sourced and initialled by the person who recorded them, so the file reads the same way in six months as it does today.

  1. 01

    Written sourcing brief

Model, trim, drivetrain, colour combination, mileage ceiling and budget. Open points are settled in writing before any seller is approached.

    Brief v1
  2. 02

    Shortlist of candidates

Three to six vehicles that match the brief, each with the seller statement, asking price, listing age and any service records the seller will release.

    Shortlist
  3. 03

    Seller coordination

We confirm availability, book viewings, record agreed terms and support the negotiation. The purchase contract stays between you and the seller.

    Coordination only
  4. 04

    Document review

Registration, service history, mileage consistency and cross-border paperwork are checked against the documents the seller actually supplies.

    Document log
  5. 05

    Independent inspection file

Third-party findings, recorded point in time, with photographs, inspector initials and variance notes where a car departs from the brief.

    Inspection file

Where the mandate stops

  • We are not a dealer or a certified pre-owned programme and we hold no stock.
  • Financing and insurance stay with the providers you choose.
  • An inspection describes condition on its date; it is not a warranty of future condition.
  • We sign nothing on your behalf without written instruction.

How comparisons are drawn and what the fee covers: comparison method and fee terms. Ready to start: send a sourcing brief.

03 / Comparison method

Requested, verified, variance.

Each shortlisted car is measured against the sourcing brief you approve, not against a sales description. The ledger records what you asked for, what the seller stated, what an independent inspection found, and the distance between them.

Inspection findings are point-in-time observations by an independent third party. They are not a warranty, a certification, or a prediction of future condition, and they do not replace your own viewing before purchase.

04 / Fee terms

Fees are agreed in writing before sourcing starts

Every assignment is quoted per brief. Below is the indicative structure we use to build a written proposal: stage, charging basis and the point at which each fee becomes payable. Final amounts depend on how narrow your specification is, how many markets we must search and how many vehicles reach inspection.

The written proposal step

  1. You send the specification and timeline.
  2. We return a scoped proposal with fee lines and exclusions.
  3. You approve in writing, and sourcing begins.

No work starts, and no seller is contacted on your behalf, until the proposal is approved in writing. Inspections remain point-in-time third-party findings, not certifications or warranties.

Request a written proposal

Request a written fee proposal

Prepared per brief, not per brochure.

Send us the specification you actually want and we return a written proposal: sourcing scope, comparison work, seller coordination hours, and the fee structure in one document. No verbal estimates, no rates that change after the first call.

Proposals state plainly what the mandate covers and where it ends. Independent inspections remain point-in-time third-party findings, and the final purchase decision stays with you.

Typical response: two business days. Written proposals only.
